Executive Board

July 13, 2008

 

 

In attendance:  Cathie Bisiack, Lee Marriott, Chuck Austin, Shari Curtright, Kelly Calhoun, Steve Poukalus, Nick Henning, Kathy Jaquet, Phyllis Shaughnessy, Jim Schmidt, and Ynette Gibbs.

 

Guests:  Ed Gibbs and Gene Shaughnessy

 

The meeting was called to order by President Kelly Calhoun. 

 

A motion was made and seconded to approve the last meeting’s minutes.

 

Treasurer’s report – Lee reported that the bank balance was reported to be $9,011.13 with some deposits to be made.  Also, signatures granting access to our accounts are being changed at the bank.

 

SPECIAL ORDERS

 

Ynette Gibbs will be the new Treasurer and will head-up the Finance

Committee.

 

The CD held by the Museum has rolled over.  Even though interest rates have completely “tanked”, we earned about ¼ of a percent.

 

OLD BUSINESS

 

A report was given on the Depot Project Progress.  Mike (our architect) was unable to attend the Board Meeting today, but said approximately 70% of the plans should be available soon.  This is very important to Lee who would like to begin making applications for Grant monies.

 

Kathy has sampled the new inventory software and would like someone else to try it and give input.  Lee emphasized that we need a new computer (preferably a Macintosh).  It may be possible to get a

 

 

 

Grant for a new computer.  It was reported that Dan Sears uses this software; Lee and Kelly will speak with Dan to see how easy it is to use.

Nick suggested having an “Inventory Party” and set a date to complete the entire inventory process.  (At least the photographs have been categorized on discs).  Phyllis suggested that only a small group of people be involved in doing the inventory.  It was also suggested that we use the extra large scanner to photo copy our extensive newspaper collection.

 

The changes to our By-Laws were approved at our General Meeting held in June.  The changes have been sent to the Secretary of State.

 

Update on the Chocolate on the Beach Festival – a meeting is scheduled for Thursday at 7:00 p.m.  It was also reported that the grand prize winner has finally received his first month’s chocolate supply.  Bob Shutz is renovating the old North Beach School.  There is a possibility that we could use the gym as a venue for the Chocolate Festival.  (At one time, the State Parks had the opportunity to purchase the old school for $1.00).

 

Ed Schumacker wants to request that former donors to the Depot Building project make another donation (he wants everyone who donated $500.00 to donate the same amount this year).  A suggestion was made to help accomplish this:  give a brief progress report on how the funds have been used to date when “gently” soliciting for more money.  Another suggestion was that any solicitation should be hand-written and the envelope hand-addressed.  The point was made that it is important for museum members to see progress (and possibly “working drawings”).  Another suggestion was to use “legal” size paper with a section on the bottom of the page that could be clipped off and sent in with a donation.  If we want to do this, we could all hand-address the requests at the next meeting.  Steve has volunteered the use of the new copier at Seabrook.  It was finally decided to wait until the fall to do this (the Museum gets a better postage rate if we send out a minimum of 200 items).  Lee will call Ed and thank him for his suggestion.

 

Kelly and Lee will attend the NP Convention in Tacoma.  It will be a three-hour show.  They will be taking lots of NP “gear” – mugs, tee shirts, etc.  There was a question regarding the location of the Eastern-most terminus of the Northern Pacific Railroad.  Lee requested receiving mileage for the trip into Tacoma.   The Board approved mileage at $.42 per mile.  Kelly reported that the colorized 1908 Depot images have arrived.

 

 

 

 

NEW BUSINESS

 

 

Lee reported that the Westport Winery produces certain wines for various

Charities.  He said our Museum would be honored to have a wine named after us.  We would use a label that would reflect the future Depot project.  A motion was made and seconded to do this.

 

The Museum’s 2009 Calendar is currently in work.  Kelly reported that there are 61 new Historical dates added.  His goal is to get the Calendar done in September.  Kelly also said that the next Newsletter will be out in September.  Ynette suggested having an Order Form in the Newsletter or be able to phone in an order.

 

There is a shredded Cedar cape made by a Quinault woman available on E-bay.  The cost is $700.00.  We are interested but need more discussion.

 

Grays Harbor Fire District #8 is willing to let the Museum Park a large container on their property to store items for the annual Garage Sale.  Ynette will speak with Al Carter regarding the containers located at Hogan’s Corner.

 

It was suggested that the Museum have their collection of Quinault baskets Appraised.  Our current Insurance is Liability only.  Nick pointed out that we will eventually be moving the collection to the new Depot location, which is in a Flood Zone.

 

There was discussion about supporting the Washington State Parks regarding the “Ghost Trees” acquisition.  The “Ghost Trees” were created in January 1767, the result of a massive earthquake and following Tsunami.

We were all in agreement that sending a letter of support would be a good thing to do.

 

Motion was made and seconded to adjourn the meeting.
